Workflow tips for managing multiple construction inspection clients?

  • Members

I've been doing drone inspections for about 2 years now and my client base has grown to the point where I'm juggling 4-5 construction companies with regular monthly contracts. How do you guys manage scheduling, data delivery, and client communications efficiently?

I'm spending way too much time on admin work and feel like I'm missing potential business opportunities. Looking for software recommendations or workflow systems that have worked well for others in similar situations.

I use a combo of Calendly for scheduling and Dropbox Business for client data delivery. Set up separate folders for each client with automated notifications when new files are uploaded. Game changer for client communication! Also consider raising rates if you're overwhelmed - better to have fewer high-paying clients than tons of low-margin work.

Honestly, once you hit that volume level, it might be time to consider hiring a VA for admin tasks or even bringing on another pilot. Industrial inspections command premium rates so the margins should support growth. I went from solo to 3-pilot operation in 18 months once I systematized everything.
